Managing Keywords

Keyword Management organises and tracks the search terms most important to your business. Well-managed keywords drive targeted traffic, improve content relevance, and help you identify opportunities for growth.

Why keyword management matters

Effective keyword management gives you:

  • Targeted traffic from search engines to your website
  • Better content relevance by aligning with user search intent
  • Organised SEO efforts around specific domains and categories
  • Performance tracking of important search terms over time
  • Opportunity identification for content development and optimisation

Add keywords

Step 1: Select your domain

  1. Navigate to Manage Keywords
  2. Click "Add New Keywords" to expand the form
  3. Select your domain from the dropdown

If you don't see your domain, you'll need to set it up first.


Step 2: Enter your keywords

Type or paste your keywords in the input field. You can enter multiple keywords by:

  • Separating them with commas: coffee beans, espresso machine, cold brew
  • Placing each on a new line

Keep keywords clear and specific. "Organic coffee beans" works better than just "coffee".


Step 3: Add the keywords

Click "Add Keywords". Your keywords appear in the table below without categories. You'll assign categories next.


Tips for adding keywords:

  • Add related keywords in batches to save time
  • Be specific to target the right audience
  • Use natural language as people actually search
  • Include variations like singular and plural forms
  • Consider search intent: informational, navigational, or transactional

Assign categories to keywords

Categories help you organise keywords by topic, product type, or service area. You can assign multiple categories to each keyword.

Assign categories

  1. Find the keyword in the table
  2. Click "Add" in the Categories column
  3. A modal opens showing:
    • The keyword you're categorising
    • Available categories for that domain
    • The option to create new categories

Select or create categories

Use existing categories:

  • Click the dropdown and select one or more categories
  • Multiple categories can be assigned to a single keyword
  • Selected categories show with a blue background

Create new categories:

  • Type a new category name in the dropdown
  • The system shows "Create category: [your text]"
  • Click the option or press Enter
  • The new category is created and assigned instantly
  • It's now available for other keywords in this domain

Save your changes

Click "Save Changes" to apply the categories. Your keywords now display their categories as grey tags.

Manage categories

View categories

Keywords display their categories as grey tags in the Categories column. Keywords without categories show a yellow "No categories" indicator.


Edit categories

  1. Click "Add" next to the keyword
  2. The modal opens with currently assigned categories selected
  3. Add new categories by selecting them or typing to create new ones
  4. Remove categories by deselecting them
  5. Click "Save Changes"

Remove individual categories

Remove a single category quickly:

  1. Find the category tag on the keyword
  2. Click the "×" icon on the tag
  3. The category is removed immediately

Remove all categories

  1. Click "Add" next to the keyword
  2. Deselect all categories in the dropdown
  3. Click "Save Changes"
  4. The keyword shows "No categories"

Filter and search

Filter by domain

View keywords from a specific website. The category count and available categories update automatically.


Filter by category

View only keywords assigned to a specific category.


Search keywords

The search box filters in real-time across:

  • Keyword names
  • Categories
  • Domains
  • Search volume
  • Keyword difficulty

View statistics

The header displays:

  • Total keywords - filtered by selected domain
  • Categorised keywords - keywords with at least one category assigned

These counts update automatically as you filter by domain.

Delete keywords

Remove keywords you no longer want to track:

  1. Find the keyword in the table
  2. Click the trash icon in the Actions column
  3. Confirm the deletion
  4. The keyword and its data are permanently removed

Navigate large keyword lists

The table uses pagination for fast performance:

  • Page numbers appear at the bottom of the table
  • Click any page number to jump to that page
  • Use "Previous" and "Next" buttons to move between pages
  • Each page displays 20 keywords

Sort your keywords

Click any column header to sort:

  • Keyword - Alphabetical order
  • Category - Alphabetical by category name
  • Domain - Alphabetical by domain name
  • Volume - Numerical by search volume
  • Difficulty - Numerical by keyword difficulty score

Click once to sort ascending, again for descending.

Understand keyword metrics

Keyword volume

Average monthly searches for this keyword:

  • High volume (1,000+): Many people search for this term
  • Medium volume (100-1,000): Moderate search interest
  • Low volume (1-100): Limited search interest

Higher volume means more potential traffic but also more competition.


Keyword difficulty

Score from 0-100 indicating how hard it may be to rank:

  • Easy (0-30): Lower competition, easier to rank
  • Moderate (31-60): Average competition, moderate effort to rank
  • Hard (61-80): High competition, significant effort to rank
  • Very hard (81-100): Extremely competitive, very difficult to rank

Focus on a mix of difficulty levels. Include easier terms for quick wins and more competitive terms for long-term value.

Best practices

Organise effectively

  • Group keywords by intent in the same category
  • Be specific with categories: use "Coffee Makers" instead of "Products"
  • Review regularly as your business evolves

Maintain your database

  • Audit quarterly: review your keyword list every 3-4 months
  • Remove irrelevant keywords that no longer align with your business
  • Add seasonal terms when relevant
  • Update categories as your structure changes

Plan strategically

  • Start with core terms directly related to your products and services
  • Expand to related terms your audience uses when researching
  • Include long-tail variations: longer, more specific phrases that are often less competitive
  • Balance difficulty levels with both easier and more challenging keywords

Common questions

How many keywords should I track? Quality matters more than quantity. Start with highly relevant keywords per domain and expand as needed. Focus on terms that align with your business goals.

Can I import keywords in bulk? Add multiple keywords at once by separating them with commas or line breaks in the keyword input field.

What if my keyword shows 0 volume? Zero volume may indicate:

  • Very low search interest (fewer than 10 searches per month)
  • A very new term not yet tracked in databases
  • A misspelling or unusual phrasing

Consider keeping these keywords if they're highly relevant to your business. They might still drive some traffic.

How do I decide which keywords to focus on first? Consider these factors:

  • Relevance to your business
  • Balance of search volume and difficulty
  • Conversion potential: will searchers become customers?
  • Current rankings: prioritise terms where you're already on page 2 or 3
