AI Visibility: Managing Key Items

Key items are product features, capabilities, or differentiators that define what makes a business unique. Managing them centrally ensures consistent messaging across all buyer configurations.

Quick start

1.    Navigate to Manage Key Items from the main menu

2.    Enter a name and optional description in the Add New Key Item form

3.    Click Add Key Item

4.    Assign the key item to buyer configurations as needed


Understanding the display

The page displays two main sections: a form to add new key items and a list of existing key items. Three statistics cards show totals at a glance.

Statistics cards

Statistic Description
Total Key Items Complete count of key items in the current workspace
Used Key Items Key items assigned to at least one buyer configuration
Unused Key Items Key items not yet assigned to any configuration

Key item cards

Each key item displays its name, description (if provided), creation date, and usage count. The usage badge shows how many configurations reference the item.

Badge colour Meaning
Blue badge Item is used in one or more configurations
Pink badge (0 configs) Item is not assigned to any configuration

What should I do next?

Situation Action
Building a new buyer configuration Create key items first. Add features that differentiate the product or service, then assign them to configurations.
Many unused key items Review and consolidate. Unused items add clutter. Delete those no longer relevant or merge duplicates.
Key item needs updating Edit the item directly. Changes apply across all configurations using it.
Removing a discontinued feature Delete the key item. Force delete removes it from all configurations automatically.
Organising by workspace Switch workspaces before creating items. Key items are workspace-specific.

Creating key items

The Add New Key Item form accepts a name (required) and description (optional). Names must be unique within the workspace.

Item Name: A clear, descriptive name for the feature or capability. Maximum 255 characters.

Description: Additional context explaining what the key item represents. Useful for team members assigning items to configurations.

After clicking Add Key Item, the new item appears in the list immediately. The statistics update to reflect the addition.

Editing key items

Click the pencil icon on any key item to open the edit modal. Only the item owner can edit.

5.    Click the pencil icon next to the key item

6.    Update the name or description

7.    Click Update Key Item

Changes apply immediately across all configurations using the key item.

Deleting key items

Click the bin icon to delete a key item. Only the item owner can delete.

Unused items

Items not assigned to any configuration delete immediately after confirmation.

Items in use

Items assigned to configurations require force delete. The confirmation message shows how many configurations will be affected. Force delete removes the key item from all configurations automatically.


Searching and filtering

Search

Type in the search box to filter by name or description. Results update as you type.

Filters

Filter Shows
All Key Items Complete list (default)
Used Only Items assigned to at least one configuration
Unused Only Items not assigned to any configuration

Search and filters combine. Searching within Used Only returns only used items matching the search term.


Workspace behaviour

Key items are workspace-specific. Switching workspaces shows only items created within that workspace.

•       Parent accounts see key items from all sub-accounts in the workspace

•       Sub-accounts see parent key items and their own

•       Sibling access (if enabled) allows sub-accounts to see each other's items

Creating a key item assigns it to the currently selected workspace.


Troubleshooting

Key item not appearing after creation

Check the selected workspace. The item appears only in the workspace where it was created. Switch workspaces if necessary.


Cannot edit or delete a key item

Only the item owner can edit or delete. Items created by other team members in the workspace show no action icons.


Duplicate name error

Key item names must be unique within the workspace. Rename the existing item or use a different name.


No key items showing

Check the current workspace and filters. Remove filters or select All Key Items. Verify the workspace contains key items.


Force delete warning

The item is assigned to configurations. Force delete removes it from all configurations. Verify this is the intended action before confirming.


FAQ

What happens to configurations when a key item is deleted?

The key item is removed from all configurations automatically. No other configuration data is affected.


Can key items be shared across workspaces?

No. Key items belong to a single workspace. Create the item in each workspace where it's needed.


Is there a limit to how many key items can be created?

No hard limit exists. Create as many as needed to accurately represent product features.


How do key items affect AI conversations?

Key items are included in buyer configuration context sent to AI platforms. They help AI responses accurately describe product capabilities.


Can deleted key items be recovered?

No. Deletion is permanent. Create a new key item with the same details if needed.
